Matters Due for Exchange Report

Location: LEAP Menu > Reports > Matters & Clients > Conveyancing > Matters Due for Exchange

Purpose: Lists Conveyancing matters with upcoming or past-due exchange/contract dates, filterable by matter type and staff.

Report Triggers:

  • Displays Conveyancing matters due for exchange based on the matter status, such as '?? (Exchanged)', '?? (Contract Dated)' and 'Unexchanged'. 
  • Applies exclusively to Conveyancing matters. 
  • The Exchange/Contract Date is determined by the Agreement Date entered under the Calendar & Tasks tab of the matter.The report includes matters without a recorded exchange or contract date. 
  • Includes past dates, particularly when a past Agreement Date remains unconfirmed. A critical date is confirmed when it has been checked.

This report focuses exclusively on active matters; therefore, the staff filters include only Current staff members for focused results. If a staff member becomes inactive, please update the staff information or status of the relevant matter to ensure accuracy. 

Report Filters:

Staff 

Includes two filters:

  • Staff Responsible: Filters results to include only matters where the selected staff members are assigned as the 'Person Responsible'.
  • Staff Acting: Filters results to include only matters where the selected staff members are assigned as the 'Person Acting'.
Matter TypeFilters results to include only matters with the selected type(s).
Display

Includes two display options:

1. Group By:

Allows users to group the list by:

  • None: No grouping is applied. 
  • Matter Type
  • Staff Acting
  • Staff Responsible

2. Expand Row Groups: Only active when the 'Group By' option is not 'None'.  

  • No: When set to 'No', the grouped rows remain collapsed, showing only the group headers.
  • Yes: When set to 'Yes', all grouped rows are expanded, displaying all rows within each group. 

Report Fields:

Matter NoMatter Number.
ClientClient Cards.
Matter TypeThe type of matter.
Property The property address, entered in the 'Property' card of the matter table.
Staff ResponsibleThe Person Responsible on the matter.
Staff ActingThe Person Acting on the matter.
Exchange/Contract The matter's Agreement Date, as recorded under the Calendar & Tasks tab of the matter.
